Alliance Française Canada Pacific – Victoria (www.afvictoria.ca) is seeking a motivated Exams and Certifications Coordinator (TEF, TCF, DELF, DALF) to join our dynamic team.

Mission:

Ensure candidate reception, administrative support, and coordination of candidates and examiners to guarantee the smooth running of TEF, TCF, DELF, and DALF exams, in compliance with standards, regulations, and data confidentiality.

1. Candidate Reception and Support

  • Welcome and support candidates before, during, and after the exam
  • Assist candidates with registration on official platforms:
    • CCI (TEF), DELF, DALF
    • France Éducation International (TCF)
  • Provide clear information about exam procedures

2. Candidate File Management and Verification

  • Verify accuracy and completeness of candidate files
  • Ensure compliance of confidential information
  • Identify, report, and correct administrative errors (updates, corrections, amendments)

3. Administrative Support and Information

  • Respond to administrative inquiries related to exams:
    • Registration dates and periods
    • Result processing timelines
    • Sending exam invitations and related documents
    • Sending results
    • Follow up on candidate requests (special accommodations, schedule changes, medical deferrals, etc.)

4. Exam Organization and Coordination

  • Coordinate exam logistics:
    • Session scheduling (based on jury availability and authorized sessions)
    • Room preparation (ensure computers are ready before the exam)
    • Management of required materials and equipment
  • Collaborate with examiners and invigilators to ensure smooth operations
  • Manage unexpected situations and recommend corrective actions

5. Compliance, Standards, and Confidentiality

  • Ensure compliance with official TEF, TCF, DELF, and DALF regulations
  • Strictly apply confidentiality and personal data protection rules

6. Support for Juries and Exam Teams

  • Provide administrative support to exam juries:
    • Confirm exam schedules
    • Collaborate with examiners, teaching staff, and finance teams
    • Monitor jury training procedures
  • Facilitate coordination between administration and teaching teams

7. Systems Management and Technical Support

  • Resolve technical issues related to exams
  • Report and follow up on incidents with the examination center

Communication with Exam Centers

  • Liaise with central offices in Paris (CCI / France Éducation International) regarding exam sessions, issues, complaints, or special candidate situations
  • Transmit and track requests, reports, and sensitive files in compliance with official procedures

Any other cross-functional tasks assigned by management, academic leadership, or finance.

Profile and Required Skills

Professional Profile:

  • Autonomy, strong organizational skills, proactivity, and versatility

Technical Skills and Experience:

  • Experience with professional certifications (TEF, TCF, DELF, DALF) is an asset
  • Administrative management and file tracking skills

Education and Qualifications:

  • University degree or certification in administration (or equivalent experience)

Compensation and Benefits

Salary range:

  • $52,000 to $57,000 CAD per year

Base salary within this range depends on skills, education, and relevant experience. New hires are typically placed in the lower half of the range to ensure internal equity and growth opportunities.
